Integrating Truelist with Your Email Account

In real estate, your inbox is where your day begins. Showing notifications, calendar invites, confirmations — they all arrive by email, and it can be tough to keep track of them all. That’s why Truelist now makes it easier than ever to connect your email account so we can automatically organize your showings and keep your sellers updated.

When you connect your email, Truelist automatically finds your showing notification emails, adds the showings to your Truelist dashboard calendar, and keeps your seller update emails accurate and up to date — without you lifting a finger.

This guide walks you through how to connect your Gmail or Outlook account to Truelist.

Connecting Your Gmail Account

Once you connect your Gmail account to Truelist, we’ll securely access your showing notification emails (with your permission) and automatically:

  • Extract the date, time, address, and details of each showing.

  • Add them to your Truelist dashboard calendar.

  • Include them in your seller update emails automatically.

No more copying and pasting details or missing a showing because an email slipped through the cracks.

Security First

Your privacy and data security are top priorities for us. Truelist’s Gmail integration went through Google’s Cloud Application Security Assessment (CASA) program and achieved Level 2 certification.

This level of review required a third-party verification of our security controls — including developer-performed vulnerability scans and independent confirmation that our data handling practices meet Google’s standards.

In short, your data is protected by multiple layers of security, and Truelist only accesses the minimal information needed to detect showing notifications and keep your listings in sync.

What We Look At

We read the subject lines of your emails to identify any emails that contain showing notifications. Only when we find emails with showing notifications do we look at the body of the message. We do not look at any of your other email in any way.

How to Connect

Follow these quick steps to connect your Gmail account:

  1. Go to your Truelist dashboard:
    Visit https://app.truelist.com and open the dashboard for one of your listings.

  2. Find the Connect Gmail banner:
    At the top of your listing dashboard, you’ll see a banner that says “Connect Gmail.”

  3. Click the banner and follow the steps:
    Google will walk you through a secure sign-in and authorization process.

  4. Grant permission:
    When prompted, check the box to allow Truelist to “View your email messages and settings.”
    This permission allows Truelist to identify showing notification emails and automatically add them to your calendar and seller update emails.

Using a Separate Gmail Account

If you’d prefer not to connect your main inbox, you can forward your showing notification emails to a different Gmail account and connect that one to Truelist instead. You’ll get the same seamless experience — automatic updates, synced calendars, and happy sellers — while keeping your primary inbox tidy.

Connecting Your Outlook Account

If you’re using Outlook, you can still benefit from Truelist’s automation.
Simply forward your showing or calendar appointment emails to a Gmail address that’s connected to your Truelist account.

In short: to connect Outlook, just set up a Gmail account and connect it using the steps above. Truelist will handle everything automatically from there.
